Volunteering

    • When you register your child(ren), you are agreeing to work THREE volunteer positions.  The swim team depends on volunteers to be successful and would not happen without parents helping out. 
    • Every time you volunteer you will receive a raffle ticket - at the end of each meet there will be a drawings for gift cards & prizes from local business & restaurants.

Swim Meets - Important Parent Information

I want to talk to the coach - how do I do that?

  • Coaches each use the Remind App for texting - please be respectful of their time at home and only text or call during appropriate hours
  • This is a summer swim league that is run on parent volunteers and amazing coaches. If you are upset - please wait 24 hours to contact the coach.
  • Kids hear what the parents say on the sidelines - please remember the kids are doing a great job and trying their best. It is OK if they miss their event or make a mistake - please do not yell at them or discuss these sorts of issues at the meets.
  • If it is a safety issue - it should be handled immediately!

Let the coaches know what meets your child can or cannot make

  • Mark attending or not attending on Swimtopia Team website for EACH meet each week. Your child will NOT be included in the meet line-up if they are not marked available for the meet by the declaration deadline.
  • 6&U choose up to 2 strokes, and if staying for relays
  • 7&ups choose up to 3 strokes, and if staying for relays
  • Medley relay is FIRST event
    • Leg 1 Backstroke
    • Leg 2 Breaststroke
    • Leg 3 Butterfly
    • Leg 4 Freestyle
  • Freestyle relay is always the last event, meets run until 9:30/10:00 PM, if you are not staying choose option of "leaving early no late relays" please

How do we know if the meet gets cancelled or delayed?

  • Coaches will alerts through the SwimTopia app as soon as they know the meet is cancelled or delayed.
  • Storms during the meet- There are regulations on thunder/lightening and when the swimmers can re-enter the water. Parents will be notified through the Remind app.
  • If bad weather is anticipated the coaches & the TSA reps may decide to only run main events (this can occur anytime during a meet!). Parents will be notified through the Remind app.
    • This means only 3 boys & 3 girls from each age group will be swimming - we understand that means some children will not swim... please understand we are trying to complete the meet before the bad weather rolls in to keep everyone safe. This is a TSA rule that only main events will run.
  • TSA reps are in charge of meet scheduling changes & cancelling the meet
    • If the meet has gone through breast stroke main events - it is considered complete - we do NOT need to come back the next day. Parents will be notified through the Remind app.
    • If the meet ends before breast stroke is complete it will be scheduled the following day - please let coaches know your swimmers availability

Arrive on time!

  • Home meets warm-ups will begin at 5:00 PM
  • Away meets warm-ups will begin at 5:30 PM
  • This means we need your child ready and in the water at those times - we recommend arriving 30 minutes prior so they are ready

Can we leave the meet early?

  • We recognize the meets can run late for the 6 and unders. After the breaststroke events, the 6 and unders are finished for the meet.
  • If you have to leave the meet unexpectedly - let the volunteer coordinator - coach - clerk of course - or a kid pusher know. When we realize a child is missing, SAFETY is our first thought.

How long will the meet last?

  • It is everyone's goal to have fun and get home in a timely manner, and we hope to be done around 9:30 PM/10:00PM.
  • The length of the meet depends on the number of swimmers each team brings & can also be affected by weather delays (summer thunderstorms). TSA matches each swim team based on size and ability level.

Why should my child stay in the designated area? I want them sitting with me!

  • We will group the swimmers by the pool - with their age groups - parents will need to sit separately
  • Unless the swimmers need to use the bathroom or get food they need to STAY with team in the designated area the ENTIRE MEET!
  • This year - we will no longer search for swimmers not in their designated seating area. We will not circle the pool to bring them over. They will miss their event, and they will be disqualified. When we have to search for kids around the entire pool it DELAYS the meet. It is the parents' responsibility to ensure your swimmer is where they need to be.

When is a good time for the swimmer to leave the swimmer section (food or bathroom)?

  • Right after your child finishes his/her event - is a good time to run to the bathroom - get a snack - say hi to all the family and friends that came out to cheer on the WhiteCaps!

Will there be food at the meets?

  • Dinner concessions TBD. There is a snack bar at the check-in stand. 
  • Most pools have some form of concession stand.
  • You may bring food from home - NO GLASS - NO ALCOHOL
