Volunteer Requirements
The WoodCreek WhiteCaps operate entirely with parent volunteers and paid coaches. When you register your child(ren), you are agreeing to work THREE volunteer positions. We appreciate and welcome you to help beyond 3 positions, but that is the minimum requirement for each swim team family.
REQUIRED: Volunteer three times per family
Parents sign up to volunteer for three time slots during swim meets, failure to do so means your child WILL NOT swim at the following practice(s) or meet(s) until the situation is rectified with volunteer sign ups.
All volunteer positions for season will open on May 1st so each family can plan their three volunteer positions for the season.
Volunteer Replacements
We understand that things come up—if you are unable to fulfill a volunteer position previously signed up for it will be YOUR responsibility to find a replacement.
If you cannot complete your assigned job, there are several things you can do.
- Check the job openings page on the WoodCreek Whitecaps website to see if there are any jobs you can switch into.
- Reach out to friends on the swim team to see if someone will trade or fill-in for you
- Post in the WoodCreek WhiteCaps Facebook page that you are looking to trade or for a replacement
- Only then if after those routes have not worked please contact Volunteer Coordinator for the season to seek further assistance.
Volunteer Positions
- New parents should think about signing up for these jobs: lane timer, head timer, ribbon distributor, and runner
- Returning parents should try to sign up for the roles that are easier for experienced swim families: kid pusher, timer, Order of Finish judge, scorer, recorder, stroke and turn judge*, clerk of course*
- Parents of 6 & unders - please sign up to volunteer for the first half of the meets (unless you plan to stay through the end of the second half...)
*Clerk of Course and stroke and turn roles - we are hoping that if you sign up for these roles, please sign up for at least three meets. These jobs are much easier if the team has consistency for who is helping.*
Kid Pusher
Organize the kids in age groups and get them lined up to head to the starting blocks for their event.
Timer
Timers stand at the finish end for that race (changes sides for older swimmers 50m), and stop the watch when the swimmer touches the wall (or crosses under the rope line for 6&under). Our timing system at home uses watches that auto-start on the horn and are digitally record the time when stopped manually by the timer.
Clerk of Course
Stays at the starting end of the pool with the meet line- up and makes sure that each swimmer is in the correct lane and heat. Helps the swimmers line up as the coaches have assigned them. If a swimmer in the main events swims out of his or her heat or in the wrong lane, he or she is automatically disqualified. Each team is responsible for one clerk of course per meet.
Order of Judge Finish
Each team will provide one Order of Finish Judge to serve as a back-up in case of malfunction/error with timing system. Order of Finish Judges will independently record 1st through 6th place on a Place Judge Form for the main (first) heat for all events which is the scoring event.
Stroke and Turn
These judges watch the swimmers and determine if they are properly swimming each stroke. They are required to attend an annual Stroke and Turn Clinic. DO NOT volunteer unless you have received the annual training.
Announcer
Announces each event and hits the button to start the clock before each heat.
Heat Ribbon Distributors
Hand out heat winner and participant ribbons to the swimmers 10 & under who did not swim in the Main Events.
Runner
Watch the stroke and turn judges and deliver DQ paper slips and main heat sheets to the scorers’ table.
Scorer
Responsible for recording the swimmers times, placements, DQs and keeping a running tally of the points per team. One per meet, sits at the main table behind announcer.
Ribbon Writers
These volunteers take the place information from the scorer and record it onto the ribbons. Sits at main table behind announcer during meet.
Concessions
These volunteers set up and sell sandwiches and pizza slices. Drinks will be handled by the pool concession stand.
Parking Attendant
Stands at the extrance of the parking lot and helps facilitate where to park cars - filling the lot from back to front. Ensures all spots are filled before cars start to park on the street. Must be availble from 4:40-6pm.
Meet Clean Up
This will be handled with ALL PARENTS AND SWIMMERS AT THE END OF EACH HOME MEET
